Reasons Why Proper English Grammar Is Important for Businesses

Ignoring proper English grammar in your business could be devastating to your bottom line. While you may not think of yourself as a writer, your role as a business owner requires you to write on a regular basis. You likely send out correspondence to potential clients, email back and forth with your employees, and write memos to the organization as a whole. If you do not use proper english grammar when writing these documents, you could look foolish and uneducated in the eyes of your employees, your superiors, and your potential clients. What are the consequences of this? One or two serious grammar mistakes could cost you that contract you have been working so hard to land! Besides making you look foolish, improper grammar can lead to confusion between you and the person you are writing to, because many common grammar mistakes actually change the meaning of what was written. For example, if you write a double negative, such as "You don't never need to come to work on Saturdays," you will not only sound silly, but you are actually saying that the individual does need to come to work on Saturdays. This lack of clarity in your writing can cause tremendous confusion.

How exactly can proper grammar affect your business income? Take a minute to think about it from the point of view of a potential client. If you were looking for a business to hire for something you needed done, how would you evaluate the potential businesses you find? Obviously you would look at the quality of each business's work, but you would also need to look through written materials. As you did, if you were someone with an eye for grammar, grammar mistakes would jump out at you. They could make you think that you would be working with someone who does not feel that it is important to pay attention to details. If the work of that company and another competitor company are equal, you will choose the competitor rather than the business with the grammar problems. Your clients will view your business the exact same way. If your written correspondence is riddled with grammar and spelling errors, but your competition can create concise, correct written copy, chances are you will lose the bid to your competitor. While your potential clients are not hiring you to write for them, they will be evaluating your professionalism and attention to detail through your written words.

As you can see, using proper english grammar is essential, but what can you do if your grammar is weak? One of the most valuable tools you can have is an individual on staff who has good writing skills. Talk to your staff members and find out if any of them would consider themselves a grammar expert. You may be surprised which individuals you have on your staff that are excellent writers or proofreaders. Even if you write the first draft of a letter or email yourself, you can then turn to that person to proofread it for you. If you do not have someone like this on your staff, consider reading your work out loud. Often mistakes become more obvious when you hear your work read. Also, consider waiting overnight before mailing out the letter. This gives you the chance to read through it again after a break, and this often will show some errors that you overlooked during the first reading of your document. By taking these steps, you can eliminate many grammar errors. Your written words will look and sound professional, and this will save your business substantial amounts of money in the future.
